Terms & Condtitions

1. General

These Terms and Conditions apply to all bookings made with UCC Summer Beds. By confirming a booking, guests agree to comply with the conditions outlined below.

UCC Summer Beds provides self-catering accommodation on a short stay basis during the summer period. All guests are expected to respect the property, staff, and other residents at all times.

2. Bookings and Payment

• All bookings are subject to availability.
• A valid payment method or contact details are required to secure a reservation.
• Guests who book directly with UCC Summer Beds are not required to make a payment or deposit at the time of booking, unless the booking relates to a large group, in which case a deposit may be requested.
• Payment must be made in advance via a secure payment link issued by UCC Summer Beds.
• All bookings are confirmed upon receipt of a confirmation email.
• UCC Summer Beds reserves the right to cancel bookings where payment has not been received in accordance with agreed terms.
• Guests may be required to present valid photographic identification upon arrival.

3. Minimum Stay

• A minimum stay of two nights applies to all standard rate bookings unless otherwise stated.

4. Check In / Check Out

• Check in time is from 3:00pm.
• Check out time is by 10:00am.
• Early check in and late check out requests are subject to availability and cannot be guaranteed.
• Late check out may incur an additional fee.
• Guests must vacate the accommodation by the stated check out time unless otherwise agreed in advance.

5. Guest Responsibilities

• Guests are responsible for maintaining the apartment or room in a clean and tidy condition throughout their stay. Additional cleaning charges may apply if this is not adhered to.
• Any damage, loss, or excessive cleaning required may result in additional charges.
• Guests must treat all staff, security personnel, and other guests with respect at all times.
• Anti-social behaviour, excessive noise, or disruptive conduct will not be tolerated.
• Noise levels must be kept to a minimum, particularly during quiet hours.

6. Occupancy

• Only the number of guests specified at the time of booking may occupy the accommodation.
• Unauthorised additional guests are not permitted.

7. Cancellation Policy

• Cancellations are free of charge up to 3 days prior to the scheduled arrival date.
• Cancellations made within 3 days of arrival will incur a charge equivalent to one night’s stay.
• In the event of a no show or failure to cancel, a charge of one night’s stay will apply.
• All cancellations must be made in writing or via the original booking channel.

8. Liability

• UCC Summer Beds accepts no responsibility for loss, damage, or theft of personal belongings.
• Guests are advised to ensure appropriate travel insurance is in place.

9. Parking

• Parking is subject to availability and campus regulations.
• Vehicles are parked at the owner’s risk. UCC Summer Beds accepts no responsibility for loss or damage to vehicles or contents.

10. Children and Supervision

• Children under the age of 18 must be supervised by a parent or guardian at all times.

11. Fire Alarm Misuse

• Any deliberate or unauthorised activation of the fire alarm system is strictly prohibited. Where it is determined that a fire alarm has been intentionally triggered without reasonable cause, a fixed penalty of €300 will be applied. In addition, the responsible individual will be liable for all associated costs incurred as a result of emergency service attendance, including but not limited to fire brigade call-out charges.

12. Keycards

• Guests are responsible for all keys, access cards, and fobs issued during their stay.
• Lost or unreturned keys/access devices may incur a replacement charge.

13. GDPR

• Guest information is processed in accordance with applicable data protection legislation and UCC Summer Beds privacy policies. Personal information will only be used for booking administration, guest communication and legal or operational requirements.

14. Group Bookings

• For group bookings, the lead guest or organiser accepts responsibility for the behaviour and conduct of all members of the group.
• UCC Summer Beds reserves the right to request a security deposit for group stays.
• Additional terms may apply to sports teams, student groups, conference groups, or large event bookings.

15. Dog Friendly Stays

We welcome dogs in designated accommodation, subject to the following conditions:

• A €50 additional cleaning fee applies per booking.
• 10% of this fee will be donated to the Cork Society for the Prevention of Cruelty to Animals (CSPCA) at the end of the summer period.
• Guests must bring their own dog bed or blanket and food and water bowls.
• Dogs must be supervised at all times and must not be left unattended in the accommodation.
• Guests are responsible for ensuring their dog does not cause damage, excessive noise, or disturbance to other guests.
• Dogs must not be allowed on beds or furniture unless adequately protected.

Additional Cleaning and Damage
UCC Summer Beds reserves the right to apply further charges where the apartment or room is left in an excessively unclean condition or where damage has occurred as a result of the stay.

16. Smoking Policy

• Smoking and vaping are strictly prohibited inside all accommodation, including bedrooms, apartments, and common areas.
• Guests who breach this policy will incur a cleaning fee and a fine of up to €1,000.
• UCC Summer Beds reserves the right to charge for any additional cleaning, damage, or loss of revenue resulting from smoking within the property.

17. Health and Safety

• Guests must adhere to all health and safety guidelines provided on site.
• Any hazards or maintenance issues should be reported immediately to Reception.

18. Right to Refuse or Terminate Stay

UCC Summer Beds reserves the right to refuse accommodation or terminate a stay without refund in cases of:

• Breach of these Terms and Conditions
• Anti-social or inappropriate behaviour
• Damage to property

19. Force Majeure

• UCC Summer Beds shall not be liable for failure to perform its obligations where such failure is caused by events beyond its reasonable control, including but not limited to severe weather, fire, flood, utility failure, industrial disputes, public health emergencies, government restrictions, or other unforeseen circumstances.

20. Amendments

UCC Summer Beds reserves the right to amend these Terms and Conditions at any time. Updated versions will be available on our website.
